Organizations
An organization is an account held by a company, agency or other entity, so that its people build on credit it buys, under one contract and one invoice. The organization holds the credit. Each member keeps their own SDCStudio account and spends the organization's credit when they work in its projects, up to the limit the organization sets for them.
Organizations are set up by Axius SDC on a signed order form. To ask for one, write to contact@axius-sdc.com.
How an organization works
- One pool of credit. The organization buys credits at the same rate as anyone, 1,000 credits per US dollar, on an invoice paid by ACH, wire or card. The credit is added when the invoice is paid, never before. An owner can also add credit by card from the Org Admin page.
- A contract term. The order form names the term. Credit held by the organization, invoiced or bought by card, expires at the end of the term and is not refunded. Unspent credit does not carry into a renewed term unless the renewal's order form says so. Owners and admins are emailed 30 days and 7 days before the term ends with the amount that will expire. Personal credits are not affected: they do not expire while your account is open. See the Terms of Service.
- Limits, not balances. A member may have a spending limit for the term. A limit caps what that member may spend; it does not set credit aside for them. The credit stays in the pool, so limits may add up to more than the balance, and the balance is what finally stops spending. A member with no limit may spend from the whole pool.
- Organization projects. The organization pays for work in its own projects only. Everything else you do is paid from your own wallet, as before.
Roles
| Role | What they do |
|---|---|
| Owner | The customer's accountable person. Everything an admin does, plus invite owners and admins, see invoices, ask for more credit, and add credit by card |
| Admin | Invite and remove members, set members' limits, reassign the owner of an organization project, move a project out of the organization |
| Member | Work in the organization's projects within their limit; see their own limit and spending |
Axius SDC invites the first owner when the organization is set up. Two owners or admins are better than one, so the organization is not stranded when someone leaves.
Joining
- An owner or admin invites you by email from the Org Admin page.
- Open the link in the email within 7 days.
- Sign in, or sign up, with the address the invitation was sent to. The invitation works only for that address, once it is verified.
Joining an organization does not ask you to fund your own wallet. Until the organization's invoice is paid, its pool is empty and nothing can be charged to it.
Organization projects
A project is either yours, where each person pays for their own work from their own wallet, or the organization's, where the organization pays.
- Create one: on Projects > New Project, choose the organization under Who pays.
- Move one in: on the project's page, under Who pays, choose the organization and click Move into the organization. Only the project's owner can do this, and everyone on the project's team must already be a member of the organization; the message names anyone who is not.
- Move one out: an owner or admin of the organization clicks Move out under Who pays. Each person then pays for their own new work again.
Charges already made stay where they were. Only new charges follow the project.
On an organization project's team, only the organization's members can be added. Downloading a generated app and issuing a Settlement Receipt are reads: someone who is on the team but has left the organization pays for those from their own wallet.
Being refused a charge
When a charge in an organization project is refused, the message says why:
- Your limit for this term is reached. Ask an owner or admin to raise it.
- The organization's balance is too low. Ask an owner to request more credit.
- The organization is not active, or you are not a member. Ask an owner or admin.
The Org Admin page
Open it from your user menu: each organization you belong to is listed. Owners and admins see seven tabs:
- Overview: balance, spending this term, spending per day, when the balance would run out at the current rate, the term and days left, and what will expire at term end, with alerts.
- Members: invite one person, paste a list, or upload a CSV (email, role, limit); send an invitation again, revoke it, change a role, remove someone. Each member's limit, spending this term and last activity.
- Limits: limits allocated against the balance; set one limit for several members at once.
- Usage: spending by member, project or operation for a date range, and every charge as a CSV file.
- Projects: the organization's projects, their owners and teams; reassign an owner.
- Billing: invoices, with Stripe's invoice page and PDF; ask for more credit; add credit by card (owners).
- Activity: who invited, removed or changed what, and when.
A member sees a summary: their role, their limit, what they have spent this term, and when the term ends.
What owners and admins see about members
Their name, email address, role and limit, and each charge the member made against the organization's credit: the operation, the project, the amount and the time. Not the member's personal wallet, and nothing they do outside the organization's projects.
Leaving
When you leave or are removed, your spending from the organization stops at once. The organization keeps its credit and its projects, and an owner or admin chooses a new owner for any of its projects you owned. Your personal account, your own projects and your own credits are untouched. A job you started before you were removed is still paid for by the organization.
